Plan, sign-in and clients
The plan, sign-in with two-factor codes, clients with fiscal years and binders, storage for originals and the Fortnox connection.

BokFai is a digital desk for accounting firms. Client documents arrive by email or upload and land in binders per fiscal year. Invoices are read with a posting proposal, and what an accountant approves goes to Fortnox.
An accounting firm gets paper and PDFs from every client, all month long. Each invoice is read and typed into Fortnox by hand, and Fortnox's own invoice reading cannot be started through its API.
Each client has binders per year, and one invoice means knowing the right shelf, binder and month.
Supplier, dates, amount and accounts are keyed into Fortnox, and the file is attached afterwards.
Receipts and invoices arrive as loose email attachments, easy to miss or to file twice.
Fortnox's own invoice reading cannot be started through its API, so an integration must read the documents itself.
We built BokFai like a shelf of binders on a screen: client, fiscal year, binder and document. Invoices are read in steps, the posting is proposed, and what the accountant approves goes to Fortnox with the original file.
Each client gets fiscal years with a standard shelf, from A Leverantörsfakturor to Ö Övrigt, and its own email address.
E-invoice XML first, then the PDF text, supplier templates, OCR and finally AI, only for fields still missing.
The accountant approves the posting, and the supplier invoice goes to Fortnox with the original attached.
Files are stored write-once with object lock. Every edit, like a split PDF, becomes a new file.
The plan estimated five to six weeks to a version a pilot firm could use. We built it in small slices, each one tested, and the first production release went out on day three.
The plan, sign-in with two-factor codes, clients with fiscal years and binders, storage for originals and the Fortnox connection.
Invoice reading from XML, text, OCR and AI, the posting editor, and supplier invoices sent to a real Fortnox test company.
Email inboxes per client, PDF tools, search, month status, exports and backups, then the production release.
An opt-in autopilot for known suppliers, page thumbnails in the PDF tools, and binders each firm can arrange.
BokFai has run at app.bokfai.se since October 2026 and has sent supplier invoices to a real Fortnox test company. Backups go to Wasabi every night, and the pilot with the first accounting firm comes next.
