ScheduleFai is a staff scheduling and payroll system for Swedish restaurants, cafés and shops. Managers plan the week with the staff cost in view, staff clock in with LogFai, and the hours go to payroll without being typed again.
The problem
Scheduling, time and payroll never talked to each other.
At Swedish restaurants, cafés and shops, scheduling, time reporting and payroll ran in separate tools. Managers saw what a week cost only after it was paid.
Planned here, stamped there
Shifts lived in a spreadsheet, clock-ins in another app. Someone matched them line by line at month end.
Staff cost came too late
Nobody knew what a week cost until payroll was done. By then the quiet Tuesday was already paid for.
Changes in group chats
Shift swaps and sick calls went by SMS, with no record of who said yes or whether rest rules held.
Tips and payroll by hand
Tips were split in Excel, and the AGI and bank files were filled in by hand every month.
What we built
Scheduling and payroll in one week view from the first shift to the payslip.
We built ScheduleFai as a web app for managers and a mobile app for staff, on top of LogFai's free clock-in. The schedule, stamped hours, tips and payroll now work from the same data.
Stamped time meets the schedule
Staff clock in with LogFai on a tablet or phone. Time reports set the hours against the schedule, with OB and overtime.
Staff cost before you publish
The week view shows planned hours, staff cost, sales forecast and weather above the shifts.
Swaps and open shifts in the app
Staff apply for open shifts and ask for swaps in the app. Rest-time warnings show before anything is sent.
Payroll ready to send
Payslips come from approved time, with tips on their own line. Export AGI, SIE 4 and bank files, or send to Fortnox.
Timeline
Built in two weeks the schedule first, then the money.
Two weeks from first commit to a live system. We started with the week's schedule, the part a manager uses every day, and built outwards to time, payroll and the staff app, shipping each part as it was done.
Days 4–7
Time reports, payroll and tips
Stamps matched to the schedule, payslips and exports, tips, rotating schedules and open shifts.
days 8–10
Staff app, BankID and Fortnox
The mobile app for staff, BankID signing of contracts and the Fortnox integration.
days 11–14
Testing and launch
Browser tests, bank files for Nordea and Handelsbanken, flexitime and requests, then the live release.
